How we steered the digitization of a global supply-chain: Creating a web-based interface to steer the order-to-production process

Digitization and automation of end-to-end process

Project Scope

TTE was asked to create a web-based digital interface for the company’s order process, which linked all relevant internal systems along the order-to-production chain.

Approach

Digitizing complex processes like the order-to-production chain isn’t exclusively about finding the right technical solution.

For our client, their order-to-production chain lies at the heart of their organization and it’s essential that all employees, who are at some point involved in the process, are comfortable working with it. Consequently, our work had two main focus points:

 

On the one hand, we redesigned a more convenient and reliable “to be”-process and digitized and automated work steps which were currently performed physically by the company’s staff. To link all relevant internal systems to the new process and making it as efficient and intelligent as possible, we included features like:

  • Automated order allocation (e.g. to show the client’s customer related orders and status automatically)
  • Machine learning/robotic process automation (e.g. to distribute upcoming tasks across the organisation in the most efficient way)
  • IT process automation (e.g. automatic hand-over steps between different departments)

On the other hand, we highly involved all relevant stakeholders to consider their needs and demands at each stage of the digitalisation process. We steered meetings with representatives from all involved functions and conducted consultation rounds with stakeholder groups from different affiliates in Europe, we collected differentiated feedback from various users and modulated the process accordingly. By making them part of the digital development, we not only ensured their early buy-in for the final solution but also confirmed that our designed process will work with the given conditions within our client’s organization. Finally, we developed user tutorials to enable an easy usage of the new system.

 

Results

The project delivered the following impact:

  • High increase of workforce efficiency
  • Increased product quality
  • Significantly reduced processing time for customer orders
  • Increased employee satisfaction as automated repetitive work freed up time for more value-adding tasks
  • Higher customer satisfaction thanks to faster and more precise performance
